Privacy Policy
This Privacy Policy describes how LANDO AI TECHNOLOGIES, LLC ("LandoAI," "we," "us," or "our") handles information in its invite-only business property-operations service.
1. Who this policy covers
LandoAI provides services to customer organizations under separate business agreements. This policy covers authorized customer administrators, managers, employees, contractors, field staff, vendors, and other invited users of LandoAI websites, applications, APIs, notifications, and support channels. LandoAI is not a public self-service consumer account service. The customer organization controls invitations, roles, permissions, property scope, and deactivation. Where a customer controls the purpose and means of processing its business data, that customer is the controller and LandoAI processes the data on its behalf under the customer agreement.
2. Information we collect
Account and authentication information. We process name, display name, organization email, profile photo or photo URL, role, position, company association, invitation and account identifiers, account status, login activity, and identity information returned when an authorized user signs in with Google or Microsoft. We receive only the identity information needed to authenticate and associate an existing organization account.
Business and workflow information. Authorized users and connected systems may submit company, property, unit, system, vendor, task, event, checklist, approval, assignment, message, comment, mention, document, image, voice-note, feedback, audit-history, check-in, and operational-record information.
Device, session, and notification information. We process device and platform information, app version, IP address, authentication and session events, push-notification token and delivery metadata, notification preferences, timestamps, diagnostics, error and performance information, security events, and permission outcomes.
3. Optional device features
Camera access is requested only when an authorized user starts a feature to capture field evidence or upload an image. Microphone access is requested only when an authorized user starts a voice-note feature. Location access is requested only for a user-initiated nearby-property, check-in, or check-out workflow. These permissions are optional and are not required merely to sign in or use unrelated features. LandoAI does not use these features for continuous background location tracking.
4. How we use information
- Authenticate users, administer organization access, and enforce roles, permissions, feature settings, and property scope.
- Provide property, system, task, event, checklist, document, upload, map, check-in, messaging, approval, AI, and notification features.
- Send operational, security, account, and support communications and maintain notification preferences and delivery records.
- Secure the service, detect misuse, troubleshoot errors, maintain audit records, measure reliability, and improve service quality.
- Comply with applicable law, enforce agreements, resolve disputes, and protect LandoAI, customers, users, and others.
5. AI-assisted features
When enabled by a customer, AI features may process a user prompt, conversation context, relevant property or system context, uploaded-image or document metadata, and prior saved messages to return operational assistance, summaries, search, or analysis. AI outputs may be incomplete or inaccurate and must be reviewed by an authorized user before being used for safety, maintenance, compliance, legal, financial, or other operational decisions. Customer content is processed to provide the requested feature and is not used by LandoAI to train general-purpose models. We do not represent that every AI output is correct or complete.
6. Sharing and service providers
Information may be visible to authorized users in the same customer organization according to roles, assignments, groups, permissions, and property scope. We use service providers to operate the service, including infrastructure and database hosting, object storage, identity and authentication, email delivery, push notifications, AI and image-processing services, vector search, background processing, security, monitoring, and support. Current backend integrations include Google and Microsoft identity services, Google Cloud services, Amazon Web Services S3, Firebase Cloud Messaging, Resend, Anthropic, OpenAI, Qdrant or Pinecone, and Langfuse where enabled in the deployed environment. Each provider receives only the information needed for its contracted purpose. We may disclose information when required by law, to prevent fraud or abuse, protect rights and safety, or complete a merger, financing, sale, or other business transfer.
7. No advertising sale or cross-app tracking
LandoAI does not sell personal information, use app interactions for targeted advertising, or use cross-app tracking for advertising purposes. We do not use an advertising identifier for the service. This statement applies only while the shipped application and its enabled third-party SDKs continue to operate consistently with it.
8. Retention, deletion, and company control
We retain information while needed to provide the service and according to the customer’s business agreement. After a customer relationship or account ends, we return or delete information under that agreement where applicable, subject to legal obligations, security and fraud prevention, backups, dispute resolution, audit history, and other lawful retention needs. A customer administrator may invite, restrict, deactivate, or reactivate users. Deactivation does not automatically erase company operational records that the customer is required or entitled to retain.
9. Privacy requests and choices
For access, correction, deletion, portability, or privacy questions, email info@lando-ai.com. We may verify identity and organization authority before responding. Because customer organizations control much of the business data, we may direct a request to the relevant customer administrator or assist that organization in responding. Users may also update permitted profile fields, change notification preferences, revoke device permissions, and sign out to remove local session credentials.
10. Security
We use administrative, technical, and organizational safeguards designed to protect information, including authenticated access, encrypted transport, scoped permission checks, token controls, environment-managed secrets, audit logging, and operational monitoring. No online service can guarantee perfect security. Users must protect their credentials, devices, and organization information and promptly report suspected misuse.
11. International processing
LandoAI and its service providers may process information in the United States and other countries. Those countries may have different privacy laws. Where required, LandoAI and the customer organization will use an appropriate transfer mechanism and contractual safeguards.
12. Children
LandoAI is intended for authorized business and property-operations users and is not directed to children. Users and customer administrators must not provide access to minors where prohibited by law or company policy.
13. Changes to this policy
We may update this policy as the service, law, or business arrangements change. We will post the updated version with a new effective date and may provide additional notice through the application or customer communication channels when changes are material.
